Description We are looking for a detail-oriented and friendly Receptionist to join our team on a contract basis in San Mateo, California. In this role, you will serve as the first point of contact for visitors and residents, ensuring a welcoming and organized environment. This position is based on-site at a short-term housing facility and requires a high level of organization, customer service, and attention to detail. Shifts: Weekends. 3:30pm - Midnight both Saturday and Sunday Duration: Two (2) Months Responsibilities: - Greet and assist visitors and residents, providing clear answers to inquiries and excellent customer service. - Manage incoming calls using a multi-line phone system, ensuring prompt and effective communication. - Perform regular walkthroughs of the property to maintain safety and address any immediate concerns. - Handle mail distribution and oversee the organization of incoming and outgoing correspondence. - Respond to emergency situations promptly and provide appropriate support as needed. - Maintain accurate records and perform data entry tasks with precision. - Schedule and coordinate appointments, ensuring efficient use of time and resources. - Utilize Microsoft Office tools, including Word, Excel, and Outlook, to complete administrative tasks. - Organize and manage files, ensuring documents are easily accessible and properly maintained. Requirements - Minimum of 1 year of experience in a receptionist or similar role. - Strong proficiency in using Microsoft Office applications, including Word, Excel, and Outlook. - Excellent customer service and interpersonal skills to interact effectively with diverse individuals. - Ability to operate and manage a multi-line phone system efficiently. - Strong organizational and time management skills to handle multiple tasks effectively. - Experience with data entry and maintaining accurate records. - Ability to respond calmly and professionally in emergency situations. - Familiarity with email correspondence and scheduling appointments.
